• Instructions Regarding Funding Requests 

    Southern Alamance Middle School PTSA 

     

    SMS PTSA  receives numerous funding requests from parents, teachers, staff, and administrators throughout the school year. To make this process more efficient and to better document PSTA activities, the PTSA has created the Funding Request Form.   This form is to be used for both budgeted and non-budgeted items. Below are instructions and things to keep in mind when requesting PTA funds. 

     

    All requests for PTSA funds must be in writing using the attached form.   Provide as much detail as possible.

    By submitting the request you are sending the information to the school PTSA Committee.   The PTA Board of Directors will review submitted requests at their next monthly meeting. You will be notified as soon as possible of the Board’s decision. The Board’s possible actions include denying the request, approving the request or tabling the request for further information. The Board may request that you attend a meeting to allow an opportunity for questions.  

     

    Once approved you will receive a purchase authorization from the treasurer.  DO NOT make a purchase without a purchase authorization.  Purchases without authorization will NOT be reimbursed.  

     

    Things to keep in mind: 

    While all requests are worthwhile, the PTSA will only provide funding to those requests that are in line with its goals and missions and where resources are available. 

    PTSA’s primary mission is to promote activities that enhance the joy and well-being of our scholars and staff in a way that complements and enriches the principles with the learning environment.  To advocate on behalf of our scholars, staff, and the school; To build community within the school, and enhance the relationship among the school, parents, and the wider community; and to encourage the community’s investment of time, energy, and resources in SMS. 

    There is a wide range of factors that go into supporting this mission.  When providing your information, please let the Board know how your project does this. PTSA places greater weight on projects that impact a large population of the school rather than an individual classroom. 

    If funding is granted or denied, it does not mean that a precedent has been set or that any funds will be awarded or denied for similar future requests.  PTA may be presented with a great project that can’t be funded during a specific semester or year but could be funded at a different time. Equally, PTSA may fund a project and then determine in the next year that a different request takes priority. 

     

    PTSA Meetings 

    The PTSA Board meets on the 1st Wednesday of each month in the SMS Media Center.  Meetings begin promptly at 6:00 PM.  As a general member, you are invited to join us as you are able.
